i. Documentation

Within 7 days from the Date of Joining, the candidate needs to submit all the required documents to the Human Resource Department . All the documents received from the candidate should be attested. All the documents of the candidate is stored in the respective Employee's File which is kept in the HR cupboard. It is confirmed whether all the documents have been received through a checklist attached in the Employee File.

After all the documents are received, an appointment letter is provided to the candidate. The Appointment Letter is supposed to be stamped and signed by the HR and the new recruit.

ii. Feeding Data in HRMS

After filing all the required documents along with the appointment letter in the respective Employee's File , the file is sentby the HRto the Payroll Department.

The HOD of the payroll Department with the reference of the documents of the Employee's File, inputs data into the HRMS as required by the System. After the data is fed into the system, an Employee Code (a unique combination of letters and numbers for every employee of ICL) is generated from the system

iii. Arranging basic amenities for the employee

On the Date of Joining of the candidate, an intimation mail by the HR is sent to the IT Department to issue laptop and creation of E-mail id for the new recruit and to the Administration Department for printing of business card and allocation of desk, if required.

iv. Induction

  1. HR gives a brief description about the company, leave and the attendance policy and the role of the new recruit. HR informs the new recruit to read the leave and the attendance policy available on the HRMS platform

  2. Depending on the position, if required, presentation containing a decription of the Company is also shown.

  3. The HR of Head Office introduces the new employee with the other employees of the Head Office.

iv. Induction

  1. A Welcome email is sent to all the employees of the Head Office and to the ones concerned with the new recruit in the other units. In case of other units HR at the Head Office sends a welcome email to all the employees of India Carbon Limited.

  2. If the Candidate is hired for a senior position (Managerial Level or above),Induction can extend upto 2 weeks. An Orientation Plan is drafted and sent via mail to the HOD and the Management for Approval.
